Automate workflows with orchestration

Entire workflows can be supported by automation, by combining experts with AI agents that perform clearly defined tasks in sequence. In this article, we give an introduction to orchestration and how it fundamentally changes technical documentation work for the better.

From manual to automated workflow

Writing a topic, i.e. an independent unit of information such as an instruction or warning text, has usually (yet somewhat simplified) been carried out like this:

1. Search for information from various sources, then analyse and verify the input for completeness and consistency

2. Design

• Create appropriate tags with metadata so that the topic can be found for the right purposes

• Choose a structure for the topic, based on the type of topic (e.g. instructions)

3. Write

4. Verify technical accuracy

5. Check terminology and tone of voice

6. Adjust and approve

Aleido is now building a platform where tasks that were previously performed manually can be guided and improved using AI.

Orchestration is key

To perform these steps, technical writers often need to use multiple tools. They would have to manually switch between tools, run scripts, and manage complex steps themselves. Orchestration automates this process so the right tool is called at the right moment without the writer having to interact. The AI platform acts as the infrastructure that connects all these tools.

When a writer starts a task (like creating a new topic), orchestration decides which tools are needed, e.g. one AI agent for input search, another agent for drafting, a CCMS for storing, and a script for formatting. They are incorporated in the workflow automatically in the background, so writers can focus on writing instead of managing technology.

If an automated step fails, e.g. if certain information can’t be found by an agent, the issue will be escalated to the writer.

Think of orchestration as a personal assistant who knows exactly which tools you need and when to use them, so your work flows smoothly without interruptions.

Less monotonous and time-consuming work

People still hold a very important role in the workflow, that of conducting the orchestration. For example it makes sense for an expert to review the information that has been collected, as there is no point in continuing the process if the needed information is missing or incorrect.

The tasks that still require manual intervention involve verification, additions and adjustments, while the agents do the heavy lifting. Those who work with creating topics are spared the most monotonous and time-consuming tasks and can instead devote their time to more creative and strategic work, creating more business value e.g. through improved user experiences and new services.

Welcoming customers to cherry-pick

As a customer, you should be able to choose which tools you want to use and which tasks you want to perform in Aleido's platform. The platform is agnostic to information sources, so it works just as well to use a customer's existing information sources and tools: Once the information has been retrieved by the platform, it does not matter which system it comes from or what format it originally had.

This way, customers do not have to choose between the platform and their existing systems, but can pick and choose the best bits and benefit from our orchestration and the tools that are missing from their existing toolboxes.
